RouteHQ Inc. ("RouteHQ", "we", "us", or "our") is committed to protecting your privacy and ensuring you have a positive experience on our website and in using our omnichannel CRM platform and services (collectively, the "Services").
This Privacy Policy applies to our Services and describes how we collect, use, process, and disclose your personal information. It also describes the choices available to you regarding our use of your personal information and how you can access and update this information.
1.1 Information You Provide to Us. When you register for an account, we ask for personal information such as your name, company name, email address, password, phone number, and billing information (including credit card details and billing address). If you contact our customer support, we may also collect any additional information you choose to provide.
1.2 Customer Data (Data Processed on Your Behalf). RouteHQ operates as a CRM and data orchestration platform. In using our Services, you may upload, import, or integrate data pertaining to your own customers, clients, or employees ("Customer Data"). This may include their contact details, conversation histories, and social media interactions (e.g., WhatsApp, Instagram, X). We process Customer Data purely as a "Data Processor" (or "Service Provider") strictly in accordance with your instructions as outlined in our Master Subscription Agreement and Data Processing Agreement (DPA). You, as the "Data Controller," are responsible for obtaining all necessary consents and establishing the legal basis for processing this data.
1.3 Information We Collect Automatically. As is true of most websites and SaaS platforms, we gather certain information automatically. This includes IP addresses, browser type, Internet service provider (ISP), referring/exit pages, the files viewed on our site (e.g., HTML pages, graphics), operating system, date/time stamp, and/or clickstream data to analyze trends in the aggregate and administer the site.
1.4 Cookies and Tracking Technologies. RouteHQ and our partners use cookies or similar technologies (such as web beacons and JavaScript) to analyze trends, administer the website, track users' movements around the website, and to gather demographic information about our user base as a whole. You can control the use of cookies at the individual browser level.
We use the information we collect in the following ways, based on the following legal bases (for EEA/UK users):
We do not sell your personal information. We share your information only in the following circumstances:
3.1 Service Providers (Subprocessors). We employ other companies and people to perform tasks on our behalf and need to share your information with them to provide products and services to you. These include cloud hosting providers (e.g., AWS, GCP), payment processors (e.g., Stripe), email delivery services (e.g., SendGrid), and customer support platforms. Our Subprocessors are bound by strict confidentiality obligations and data processing agreements.
3.2 Legal Requirements. We may disclose your information if we believe in good faith that such disclosure is necessary to (a) comply with applicable laws, regulations, legal processes, or governmental requests; (b) enforce our agreements, policies, and terms of service; (c) protect the security or integrity of our products and services; or (d) protect RouteHQ, our customers, or the public from harm or illegal activities.
3.3 Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
We take data security seriously. We implement appropriate technical and organizational measures designed to protect the personal information that we collect and process. Our security measures include:
However, no security system is impenetrable, and we cannot guarantee the absolute security of your data.
We retain personal information we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested, to resolve disputes, or to comply with applicable legal, tax, or accounting requirements). When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
RouteHQ is headquartered in the United States, and we use global infrastructure. Your information may be transferred to, and maintained on, computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.
If you are a resident of the European Economic Area (EEA), the UK, or Switzerland, we will protect your personal information when it is transferred outside of such locations by (a) processing it in a territory which the European Commission has determined provides an adequate level of protection, or (b) otherwise implementing appropriate safeguards, such as the European Commission's Standard Contractual Clauses (SCCs), to protect your personal information.
Depending on your location (e.g., under the GDPR in Europe, the CCPA/CPRA in California, or the NDPR in Nigeria), you may have the following rights regarding your personal information:
To exercise these rights, please contact our Data Protection Officer at [email protected]. We will respond to your request within the timeframe required by applicable law.
If you are a California resident, the California Consumer Privacy Act (CCPA) as amended by the CPRA requires us to provide additional information. We do not "sell" or "share" your personal information for cross-context behavioral advertising as defined by the CCPA. We act as a "Service Provider" for the Customer Data you upload to the platform.
If you are a resident of Nigeria, we process your personal data in compliance with the Nigeria Data Protection Regulation (NDPR) issued by the National Information Technology Development Agency (NITDA). Your data is processed lawfully, fairly, and transparently. In addition to the rights listed in Section 7, you have the right to lodge a complaint with the National Information Technology Development Agency (NITDA) or the Nigeria Data Protection Commission (NDPC) if you believe your data privacy rights have been violated.
Our Services are not directed to individuals under 16. We do not knowingly collect personal information from children under 16. If we become aware that a child under 16 has provided us with personal information, we will take steps to delete such information. If you become aware that a child has provided us with personal information, please contact us at [email protected].
We may update this Privacy Policy from time to time in response to changing legal, technical, or business developments. When we update our Privacy Policy, we will post the revised version and update the "Last updated" date. If we make material changes, we will provide you with additional notice (such as adding a statement to the login screens or sending you an email notification).
